Introducing a Microsoft Teams ringtone that may make you want to dance

We are pleased to announce a fun new spin on that old familiar tune. Starting today, a remix version of the Microsoft Teams ringtone is available.

The sound of an incoming Teams Call has become ubiquitous with the feeling of productivity. Getting work done starts with those first few notes of that jingle and it can be good to bring in a fresh spin to a classic melody.

There have been incredible remixes created by Teams enthusiasts and community members over the years and it is finally time to bring that energy to the Teams platform in musical form.

Calum Newton, who goes by CandyMoore.mp3 on social media, created an incredible remix of the ringtone, so we reached out and asked him to create a version that we could share with you. His remix is now available for users to customize their Teams experience, and it hits hard enough to make you want to dance.

Users have always had the ability to change their Teams ringtone from the Settings menu, under the Calls tab. Starting today, a new ringtone (“Remix”) should automatically appear in the dropdown menu. If the new ringtone does not appear in the dropdown, go to “Menu” and click on “check for updates.” The Teams ringtone can be changed on both the desktop and web apps. The Teams’ mobile app settings are streamlined, so when they are changed in the desktop or web apps it will automatically change across all your endpoints, including mobile.

Sign documents in real time during Microsoft Teams meetings

With Microsoft Teams being the preferred platform for real-time collaboration, signing documents during meetings was a need to be covered. Teams Store has many integrations with e-signature providers and by offering them a ready to implement solution so their customers can sign documents during meeting was a common ask.

Teams Ecosystem Engineering developed a proof of concept so any ISV or customer can implement signing documents during meetings. This application will let the document owner select the document to sign and add it to a meeting. Depending on the role of the attendees (signers or viewers), users will be able to sign or see the document during the meeting. The authentication will be seamless since it’s using Teams SSO. Some common documents to be signed during meetings are purchase agreements, incoming invoices, or NDAs.

The code is customizable so ISVs can select the type of signature the customer needs to use (manual signature, electronic signature or certificate-based signatures). Moreover, the POC can be customized for other scenarios like accepting changes in documents or in code reviews.

This is currently available in desktop client. Mobile and web clients are coming soon. In addition, this only works for users from the same organization or tenant with availability for guest and anonymous users coming soon.

Updates for Teams Rooms managed service

Teams Rooms managed service enables customers to scale and optimize their rooms deployment. Building on our learnings delivering on this value for the past several years, today we are announcing an evolution to one of the Teams Rooms managed service workflows. Starting October 1, 2022, incidents will automatically remediate or route to the customer’s IT department or designated management partner, without the intermediary involvement from our engineers.

The Teams Rooms managed service platform will continue to provide all the platform value Premium customers know and use today, including all-day monitoring, update ring configuration, incident diagnostics, inventory planning, and advanced incident analytics.

We will focus our approach moving forward on growing and deepening the value of our managed service software platform by increasing our feature investments. Additional support for Teams Rooms issues will move to our standard processes for customers across their Microsoft products.

Announcing Microsoft Teams optimized for Apple silicon

Today we’re excited to announce the arrival of a native Microsoft Teams app optimized for the Mac lineup with Apple silicon.

At Microsoft, we are committed to delivering great product experiences that help our customers work easier and faster on their favorite devices. We heard from our customers who use Mac with Apple silicon that they want Teams to be optimized for their devices. We are rolling out a production grade universal binary version of Teams, which means it will run natively on the entire Mac lineup, including those with Apple silicon. For Mac users, this means a significant boost in performance, ensuring efficient use of device resources and an optimized Teams experience even when using multiple high-resolution monitors during calls or meetings.

Microsoft is committed to innovation and committed to the Mac, so we’re excited to bring this to our Mac users. All Mac users will be automatically upgraded with their most recent update to Teams. The generally available (GA) version of the native Teams app on Mac with Apple silicon is being rolled out to customers in increments over the coming months.

What’s new in Microsoft Teams for July

How is it already time for the “What’s New in Teams” blog for July? Wow, summer is speeding by us quickly. Microsoft Forms enhancements in Teams meetings

Microsoft Teams now has an even stronger partnership with Microsoft Forms. Microsoft Forms is excited to introduce a number of new features and improvements to existing features within Teams meeting polls. Here’s a quick summary:

  • We’re replacing the “Forms” app within Teams with a new app named “Polls”—making it much easier for people to find and add polls to their chats and meetings. You will be able to see the “Polls” app when searching in the Teams app store (via the side bar or top nav bar in the meeting) or from the message extension flyout menu.

  • We’ve made UI improvements to the poll suggestions pane, including the ability to:
    o Re-position the list of suggested polls from the bottom to the side pane
    o Provide an entry point in the polls portal page, where users can show/hide the side pane as needed
    o Provide the poll results view (previously, it only showed the voting view), which allows the poll creator to see how the poll will look to the meeting audience after it’s launched

  • You can now see a list of your recently created polls so that you can re-use your past polls created in new meetings and save time.

Remove a call from your history
Streamline your view with the ability to hide calls from your call history list on Teams for desktop and mobile.

Call recording announcement played in your default language
Call recording announcements will now be played in your default language for Teams calls to or from a phone number. Both parties will hear the announcement in the same language, at the same time, for both standard and compliance recording scenarios.

Common Area Phone license enhancements
The Common Area Phone offering has been enhanced to serve a wider variety of scenarios for customers without increasing the price. Learn more about how to set up Common Area Phones.

Security, endpoint management, and cloud-based voicemail features are available through the following service plans added to the Common Area Phone license:

  • Azure Active Directory Premium Plan 1
  • Microsoft Intune
  • Exchange Online Plan 2 (cloud-based voicemail only)

You can verify within the admin center that a Common Area Phone license is activated for Azure Active Directory Premium Plan 1, Microsoft Intune, and Exchange Online Plan 2.

To enroll devices into Intune service, check the requirements at Configure Intune to enroll Teams Android-based devices. If you have auto-enrollment set up in the Microsoft Endpoint Manager admin center, and you do not want to auto-enroll your Teams device, you need to unassign the Intune license or set up a grouping structure that omits these devices from auto-enrollment.

In addition, the following calling features are available for supported Teams phone device models enabled with a Common Area Phone license and the latest Teams app update (minimum version – 1449/1.0.94.2022061702):

  • Call park and retrieve
  • Cloud-based voicemail through Exchange Online Plan 2
  • Call queues
  • Auto attendants
  • Group call pickup
  • Forwarding rules

To use the calling features on supported Teams phone device models, you need to enable the “Advanced Calling” setting in the Teams admin center or on your Teams phone device and sign in through your Common Area Phone account. Spectralink Digital Enhanced Cordless Telecommunications (DECT) device integration with SIP Gateway
DECT devices from Spectralink have been integrated with SIP Gateway, allowing frontline workers to use Teams calling functionality on DECT devices to communicate with colleagues on the go. DECT device integration with SIP Gateway is available on the following compatible handset models from Spectralink:

  • IP-DECT 200/400/6500/Virtual IP-DECT/IP-DECT Base Station
  • Handsets 72xx/75xx/76xx/77xx

Check out for Microsoft Teams panels
Using the new “Manage” button on a Teams panel, the reserved Teams Room can now be checked out of, or released, directly from the panel with the touch of a button. This functionality will end the room reservation and returns the room to the room inventory.

Also through the new “Manage” button, a Teams Rooms reservation can be extended directly from the panel. The reservation can only be extended if the room is available during that time.

Peripherals: Camera on/off feature
Any Teams-certified peripheral device supporting the camera on/off feature now allows each user to more efficiently turn on or off their individual video in calls and meetings. Instead of fumbling with a mouse or keypad, users can quickly control their video with the simple click of a button on their device.

Certified devices

Logitech Tap IP (VR0029) 
The Logitech TAP IP is now certified for Microsoft Teams Rooms. Using the network-connected touch controller allows for easy meeting join via one-touch join and simple setup with a single power over ethernet cable. The Logitech Tap IP can be mounted using table and riser mounts that allow for 180-degree rotation or on the wall depending on the needs of the room. Learn more.

Logi Dock
Logi Dock is an all-in-one docking station that is now certified for Microsoft Teams. Logi Dock works smoothly with Teams and connects everything in one tidy unit, replacing the need for extra peripherals and eliminating a tangle of cables and wires. The device connects and charges up to five USB peripherals and up to two monitors, simplifying the home office setup so that users can work more productively.

Chat and Collaboration

LinkedIn integration
Use LinkedIn profiles, now integrated with Teams, to get to know your colleagues, connect directly and build deeper relationships. From Teams chat, channels, calls, or meetings, you will now be able to view your colleague’s LinkedIn profile, including their current role, past experiences, and other insights. Learn how to make the most of your LinkedIn integration.

Automatic groupings available for channel posts

When creating a message post in a team channel, users are now able to notify owners of the team all at once by mentioning “@Team Owners,” removing the need to mention team owners individually. “Team Owners” is automatically grouped and doesn’t require any manual maintenance.

Enhanced user experience on iPad 
Microsoft Teams on iPad is now more responsive to screen size, app orientation, and display modes. The Teams app bar and canvas will automatically align based on the screen size available to the Teams app.

Management

Bulk removal for individual policy assignments
Admins can clean up individual policy assignments from users in bulk so that those users can inherit the correct policy either via a group policy assignment or global organization-wide default. Individual policies are always prioritized, in order to clean those induvial policies and make sure that users are getting the correct policy we created this procedure to clean them all in one operation.

Export API support for Teams message reactions
The Teams Export API allows organizations to support Enterprise Information Archiving (EIA) for Teams to solve for retention, indexing, e-discovery, classification, and regulatory requirements. Teams Export API also will now support Teams reactions (heart, thumbs up, laugh, surprised, angry, sad) on a message using the Export API. This is in addition to Teams Messages (1:1 and group chat), attachments (file links and sticker), emojis, GIFs, and user @Mentions.

Moodle Learning Management System integration
In addition to integration with Canvas and Blackboard, Microsoft has now partnered with Moodle Learning Management System to deliver seamless integrated learning experiences. Microsoft Teams Meetings LTI and Classes LTI apps are now available within Moodle.

Frontline Workers

Easily deploy frontline teams at scale
Administrators can deploy up to 500 teams with 25 users per team using one PowerShell command. This enables your organization to roll out teams at scale within a day so your frontline workforce can collaborate and be productive across different stores, locations, and roles. You can use custom templates to set up teams that best fit your organization’s needs or leverage one of our default templates. Admins also can remove members from teams at scale from existing teams. Device Test for virtual appointments
Device Test allows virtual appointment users to validate and configure hardware components before joining an appointment through Microsoft Teams. Users will be able to validate camera, microphone, and browser compatibility, as well as the internet connection at any moment before the scheduled appointment start time. Benefits of Device Test include:

  • Complete a full test call with Azure Communication Service
  • Easy access to the troubleshooting guide
  • Ability to share test results with appointment organizers

Virtual appointment SMS notifications for UK customers
Now UK customers can send and receive SMS confirmations and reminders with a Teams Meetings link for any virtual appointments that are created from the Bookings app in Teams. Learn more about SMS notifications.

Government

These features currently available to Microsoft commercial customers in multi-tenant cloud environments are now rolling out to customers in the US Government Community Cloud (GCC), US Government Community Cloud High (GCC-High), and/or United States Department of Defense (DoD).

Organizers are now able to modify the user experience or customize the safety and security settings for their Teams Meetings using the new “Meetings options” feature.

Large Gallery for Teams on VDI in government clouds
By default, Teams Meetings supports up to nine videos in Gallery. Now, using Large Gallery, users can view up to 49 videos at once in Meetings on virtual desktop infrastructure (VDI). This is available for GCC and GCCH.

Together Mode for Teams on VDI in government clouds
Together Mode lets you see all your colleagues against a shared background, making you feel like you are all together in a virtual online room. This is now available in Meetings on virtual desktop infrastructure (VDI) for GCC and GCCH.

Microsoft Teams Connect shared channels moving into generally availability

In our interconnected world, organizations need to freely collaborate across boundaries, because connections with partners, vendors, and customers are critical components of success. Our customers tell us that now, more than ever, they need to collaborate with their external partners with the same ease and efficiency they experience when collaborating within their own companies and it needs to happen in a way that’s secure, governable, and compliant. With our customer needs in mind, we created Microsoft Teams Connect.

Teams Connect brings together two main core features —

Chat, powered by external access, gives you the ability to chat with external users outside your organization without the need to switch tenants, enabling real-time and secure conversations solving for what you need faster.

Shared channels, rolled out in a public preview this March 2022, and as a result, we saw a range of customers adopting the feature to enable frictionless collaboration within their organizations. We are excited to announce that shared channels is moving into general availability. We expect to complete the rollout by mid-August.

Powered by B2B direct connect, shared channels provide the flexibility to collaborate with parties both inside and outside an organization and work effectively as one extended team in a channel without the need to tenant switch. With shared channels you can:

  • Collaborate with members who are not part of the team in which a channel is created.
  • Provide a gateway for both parties to share files, hold conversations, meet, and review documents in a secure and deliberate way, without switching tenants.
  • Retain your flow of work, as external shared channels show up alongside channels from your organization.
  • Attain access to the full suite of Teams collaboration capabilities with external partners in other Azure AD orgs, just as you would with colleagues from your organization.

Shared channels are built on the Microsoft 365 hyperscale, enterprise-grade cloud delivering advanced security and compliance capabilities our customers expect. Shared channels also support a rich set of Information Protection tools for host admins to manage and govern channel data, including eDiscovery, legal hold, communication compliance, information barriers, audit logs, retention, and DLP.

What’s New?
Coinciding with the general availability for shared channels, we worked to improve key enhancements that deliver richer experiences for all channel members such as:

  • App developers can now build apps for shared channels: Teams app developers can use the Teams app manifest to opt-into shared channels and prepare their app for powerful cross-organizational collaborative workflows.
  • More shared channels: We increased the number of shared channels from 50 to 200. As a result, a team now supports 200 standard, 30 private, and 200 shared channels per team.
  • Improved messaging experience: We brought the same, rich messaging experience to external users so they can use functionality like GIFs and emojis.
  • Security defaults now support B2B direct connect user: If you have security defaults enabled, we will keep you protected by enforcing multi-factor authentication for external users when necessary.
  • Enhanced admin reporting: Through Teams user activity reporting and Teams team usage report, admins have access to enhanced reporting for external users.
  • Apps support on mobile: Shared channels now supports Apps on mobile.

Which common business scenario do you fall under?

In practice, shared channels streamline two common business scenarios:

  • Companies collaborating with external partners on joint ventures. For instance, an apparel company sourcing materials from a supplier, or a healthcare organization developing marketing materials through an advertising vendor. Many consulting companies use shared channels to work with their clients on engagements.
  • Multinational and conglomerate companies connecting to subsidiaries or integrating recently acquired or merged business units. For example, a holding company uses shared channels to build a space for its executives from different subsidiaries to engage in a more seamless manner.

Imagine a healthcare organization wants to build a new wing for its hospital.

  1. The COO starts a Teams chat with an architecture firm to kick off the project, and admins at the two companies use Azure AD B2B direct connect to set up a mutual trust relationship.
  2. From there, the account manager from the architecture firm creates a shared channel in the team dedicated to the healthcare client and shares the channel with the team so that stakeholders from various departments can collaborate with the client. He now invites the client team to join the channel. As team members join or leave, they gain or lose access to the shared channel, removing the need for an account manager to manage individual client team members. Now, everyone across the two companies can work in a shared collaboration space, conversing and sharing files securely, just as though they were in the same company.
  3. Next, the healthcare project manager (PM) uploads a contract and a project requirements document, then @ mentions the architect to review.
  4. As she reads through, she realizes she has several questions, so she initiates a meeting directly from a shared channel and records the conversation, allowing colleagues who couldn’t attend the chance to catch up asynchronously.
  5. As the project progresses, the architect brings an engineering consultant into the same shared channel for mechanical design support. Visual cues keep everyone in the shared channel informed about who is from other organizations and whether the channel belongs to their own organization.
  6. None of the users from the three organizations need to switch tenants to work together, providing a more seamless collaboration experience.

Introducing new Microsoft Teams on Web features for small businesses

We understand more now than ever small businesses are facing challenges they’ve never experienced before. We’re here to share some of the new and exciting features on Web that we find useful.

Introducing background effects on Web

Custom backgrounds are now available to web users. You can blur your background or select from Microsoft-provided backgrounds during your video meeting or call, making your meetings more fun and personal. Note that blurring or replacing your background may not prevent sensitive information from being visible to other people in the meeting.

CART captioning on Web

You can now view captions coming from a CART provider (real-time captioning) within the Microsoft Teams meeting window instead of a secondary window. Follow along with what is being said without having to choose between the captions and the presentation. Meeting organizers and participants can enable CART captions from their meeting options. Live Captions in all available languages on Teams Meetings on Web

Live captions with speaker attribution allows you to see who is speaking along with what’s being said, making meetings more inclusive and easier to follow along. We have expanded to 27 new spoken languages, including German, Portuguese (Brazil), Japanese, and Hindi, to name a few. This provides flexibility and additional clarity for your participants to engage in meetings.

Live transcription allows you to follow and review conversations alongside the meeting video or audio in real time. This promotes inclusivity for participants who have hearing disabilities or different levels of language proficiency. Attendees who joined late, or missed the meeting, can easily catch up by reading what was discussed from the transcript. We have also expanded to 27 new spoken languages, including German, Portuguese (Brazil), Japanese, and Hindi. Tenant admins have to turn on the Allow transcription policy to enable this feature.

Microsoft announces Viva Sales, redefining the seller experience and enhancing productivity

Viva Sales works with any seller’s CRM to automate data entry and brings AI-powered intelligence to sellers in Microsoft 365 and Microsoft Teams

REDMOND, Wash. — June 16, 2022 On Thursday, Microsoft Corp. announced Microsoft Viva Sales, a new seller experience application. Viva Sales enriches any CRM system with customer engagement data from Microsoft 365 and Microsoft Teams, and leverages AI to provide personalized recommendations and insights for sellers to be more connected with their customers. This helps sellers more seamlessly personalize their customer engagements toward faster deal closure.

Employees are demanding more from their employers in today’s hybrid world — from the tools they use, to the hours and locations they work. This is especially true for salespeople. Viva Sales enables sellers to capture insights from across Microsoft 365 and Teams, eliminate manual data entry, and receive AI-driven recommendations and reminders — all the while staying in the flow of work. Viva Sales streamlines the seller experience by surfacing the insights with the right context within tools salespeople already use, saving sellers time and providing the organization with a more complete view of the customer.

“The future of selling isn’t a new system. Reimagining the seller experience

Viva Sales builds on Microsoft Viva, which was launched last year. Viva provides an integrated employee experience platform that brings together communications, knowledge, learning, goals and insights to empower every person and team to be their best from anywhere. Viva Sales delivers the first role-based Viva application designed specifically for sellers:

  • Viva Sales provides tools for sellers to do their jobs, while providing the insights that sales leadership needs. As sellers are working, they can tag customers in Outlook, Teams or Office applications like Excel, and Viva Sales will automatically capture it as a customer record, layered with all relevant data about the customer. Being able to automatically capture this level of customer engagement data was not available previously. This data can easily be shared with team members while collaborating in Office and Teams without retyping or looking it up in a CRM.
  • Powered by data and AI, Viva Sales recommends next steps to progress a customer through the sales funnel, prioritizes work and next steps, and enables sellers to access full history and customer interaction materials. Real-time customer insights provide a deeper understanding of where each customer is in their purchase journey, and how to guide the relationship.
  • Viva Sales also provides AI-driven recommendations to enable sellers to enhance their customer engagement — optimizing follow-through with next best steps, actionable reminders, and recommendations to accelerate and close more sales.  Viva Sales is using Context IQ, announced last fall, to ensure relevant content is connected across Microsoft apps and services — like Dynamics 365 and Microsoft 365 — so sellers save time and stay in the flow of work.

How Microsoft Teams uses AI and machine learning to improve calls and meetings

As schools and workplaces begin resuming in-person operations, we project a permanent increase in the volume of online meetings and calls. And while communication and collaboration solutions have played a critical role in enabling continuity during these unprecedented times, early stress tests have revealed opportunities to improve and enhance meeting and call quality.

Disruptive echo effects, poor room acoustics, and choppy video are some common issues that hinder the effectiveness of online calls and meetings. Through AI and machine learning, which have become fundamental to our strategy for continual improvement, we’ve identified and are now delivering innovative enhancements in Microsoft Teams that improve such audio and video challenges in ways that are both user-friendly and scalable across environments.

Today, we’re announcing the availability of new Teams features including echo cancellation, adjusting audio in poor acoustic environments, and allowing users to speak and hear at the same time without interruptions. These build on AI-powered features recently released like expanding background noise suppression.

Voice quality improvements

Echo cancellation

During calls and meetings, when a participant has their microphone too close to their speaker, it’s common for sound to loop between input and output devices, causing an unwanted echo effect. Now, Microsoft Teams uses AI to recognize the difference between sound from a speaker and the user’s voice, eliminating the echo without suppressing speech or inhibiting the ability of multiple parties to speak at the same time.

“De-reverberation” adjusts for poor room acoustics

In specific environments, room acoustics can cause sound to bounce, or reverberate, causing the user’s voice to sound shallow as if they’re speaking within a cavern. For the first time, Microsoft Teams uses a machine learning model to convert captured audio signal to sound as if users are speaking into a close-range microphone.

Interruptibility, for more natural conversations

A natural element of conversation is the ability to interrupt for clarification or validation. This is accomplished through full-duplex (two-way) transmission of audio, allowing users to speak and hear others at the same time. When not using a headset, and especially when using devices where the speaker and microphone are very close to each other, it is difficult to remove echo while maintaining full-duplex audio. Microsoft Teams uses a model “trained” with 30,000 hours of speech samples to retain desired voices while suppressing unwanted audio signals resulting in more fluid dialogue.

Background noise suppression

Each of us has first-hand experience of a meeting disrupted by the unexpected sounds of a barking dog, a car alarm, or a slammed door. Over two years ago, we announced the release of AI-based noise suppression in Microsoft Teams as an optional feature for Windows users. Since then, we’ve continued a cycle of iterative development, testing, and evaluation to further optimize our model. After recording significant improvements across key user metrics, we have enabled machine learning-based noise suppression as default for Teams customers using Windows (including Microsoft Teams Rooms), as well as Mac and iOS users. A future release of this feature is planned for Teams Android and web clients.

These AI-driven audio enhancements are rolling out and are expected to be generally available in the coming months.

Video quality improvements

We have also recently released AI-based video and screen sharing quality optimization breakthroughs for Teams. From adjustments for low light to optimizations based on the type of content being shared, we now leverage AI to help you look and present your best.

Real-time screen optimization adjusts for the content you’re sharing

The impact of presentations can often depend on an audience’s ability to read on-screen text or watch a shared video. But different types of shared content require varied approaches to ensure the highest video quality, particularly under bandwidth constraints. Teams now uses machine learning to detect and adjust the characteristics of the content presented in real-time, optimizing the legibility of documents or smoothness of video playback.

AI-based optimization ensures your video looks great, even under bandwidth constraints

Unexpected issues with network bandwidth can lead to a choppy video that can quickly shift the focus of your presentation. AI-driven optimizations in Teams help adjust playback in challenging bandwidth conditions, so presenters can use video and screen sharing worry-free.

Brightness and focus filters that put you in the best light

Though you can’t always control the surrounding lighting for your meetings, new AI-powered filters in Teams give you the option to adjust brightness and add a soft focus for your meetings with a simple toggle in your device settings, to better accommodate for low-light environments.

Meet the Hive, crafting a new hybrid meeting room experience

New hybrid meeting experiences are coming to Microsoft’s employees and guests, a Microsoft Teams Rooms-powered transformation that will save space at the table for everyone, no matter where they join from.

Thanks to new meeting room layouts, improved technology, and better integration with Microsoft Teams, remote participants will feel more included in meetings that will also be better for people in the room.

Getting these experiences right will play a big part in helping everyone feel comfortable and included in this new hybrid work environment. It’s not about making sure both remote and in-the-room experiences are perfectly equal—that’s not possible. Rather, the goal is to enhance and optimize each experience so each is the best it can be.

“When they decide to go into the office, employees want experiences that are worth the commute,” says Nathalie D’Hers, corporate vice president of Microsoft Digital Employee Experience, the organization that powers, protects, and transforms the company. “That means making sure that when they choose to go in, they do so for an experience that they can’t get from home.”

And vice versa, it’s important to make sure that those who work from home, at a coffee shop, or from a hotel on the road feel like that experience has been optimized for them.

“We’re building solutions that solve for both sets of needs,” D’Hers says. “Most of us are working in both worlds anyway—it benefits us all to get both experiences right.”

Several organizations across Microsoft—including Microsoft Digital Employee Experience, Global Workplace Services, and Microsoft’s product groups—are working together to make sure we get these hybrid experiences right. We want to properly greet employees and guests when they go to a Microsoft campus and that we make them feel equally welcome when they virtually join a meeting.

“We’re digitally transforming our meeting spaces and facilities around the world so we can support more inclusive experiences,” says Michael Ford, corporate vice president of Global Workplace Services, the organization responsible for planning, building, maintaining, and operating Microsoft’s global real estate and security. “Our culture is about diversity, inclusion, and trust, and we are designing experiences that support and promote those important values.”

Along with other new transformations—including improved transportation, dining, and workspace reservation experiences—creating new hybrid meeting room experiences represents a major step forward in the future of work at Microsoft.

Meet The Hive

There’s a place on Microsoft’s Puget Sound campus where our software engineers, audio-video engineers, architects, and interior designers are coming together to weave new devices, technology, and concepts into transformed meeting room experiences.

It’s called The Hive.

“It’s the facility where we bring in all the new devices that are coming to us from our OEM partners and test them out and see how they work,” says Matt Hempey, a principal program manager who focuses on engagement and collaboration at Microsoft Digital Employee Experience. “We think about all of the subtleties of how a physical space and hardware can interact—that’s the challenge we’re trying to solve here at The Hive. This is how we can get things just right for everyone.”

In The Hive, teams across Microsoft can gather to brainstorm, test, and validate all meeting room scenarios that they can think up. It’s all about coming up with new ideas, like being inspired to try a new room layout when a set of new components comes in. This can include moving walls, bringing in new furniture, and cutting a table in half—all of this can be done quickly without having to do the expensive work of structural redesign.

“We think of it as our living laboratory,” says Scott Weiskopf, director of the Center of Innovation for Global Workplace Services. “You’ve got cardboard tables and Styrofoam things that we can move around and do rapid prototyping and testing with. It’s our little garage that we can tool around with stuff.”

A new work experience

When thousands of Microsoft conference rooms around the globe suddenly sat empty, it was clear that the work experience was changing. The shift to fully remote demonstrated that people liked flexibility and that meetings could happen from anywhere.

In some ways, it leveled the playing field.

“It used to be that people dialing into a meeting felt like they weren’t going to be as important as people who were physically there,” Hempey says. “Suddenly we were in a world where no one was physically in the room, so everyone was having the same meeting experience. Everyone was equally important; meetings became more inclusive—everyone felt heard and seen.”

At the same time, a lot of human connection was lost.

Social bonds, the richness of discussions, the little chats that occur at the start of the meeting, and the fidelity of in-person brainstorming on a whiteboard were missed. As good as the remote technology was, some individuals still had a strong desire to get back together in meeting rooms.

The shift brought on by the pandemic gave employees the opportunity to choose the kind of workstyle that worked best for them. Some would remain working from home while others would come back to the office. And some would manage a mix of both.

It was clear this dueling dynamic between remote and in-person would require new accommodations from Microsoft.

Having a modular environment to come up with new ideas—The Hive—has empowered Microsoft to pivot to these new circumstances, including upgrading to a new Microsoft Teams Rooms experience powered by hybrid meeting rooms.

Doing hybrid right

The pause in meeting room usage meant The Hive team could step away from normal escalations and concerns and get creative in designing the new workplace experience. This break from the norm would ultimately prove to be key in deciphering the balance between employee needs.

“We’ve had to look at what technologies can be used to make remote employees feel more included in a meeting and vice versa,” Weiskopf says of the effort to help connect in-person and remote attendees in a meeting room. “It involves physical changes to the room and furniture, technical changes to the audio-visual equipment and software. And then, of course, trying to optimize this idea of including everyone.”

Collaborators throughout The Hive designed Microsoft’s new hybrid meeting rooms as immersive and inclusive spaces. Everything was reimagined, from fabric, light, the different pieces of furniture, to how the space itself is arranged.

“What creates a great hybrid experience is not necessarily the technology as much as just the way everyone is facing,” Hempey says. “If people are facing each other in the room, they’re not focused on the people that are there remotely.”

By default, all of Microsoft’s new hybrid meeting rooms face a large screen where remote attendees are displayed. Rooms that used to sit 10 in a center-facing direction will now be refitted with a guitar pick-shaped table that focuses attention on the screen and cameras at the front of the room.

To offset any loss of capacity due to the new table shape, a second elevated table sits at the back of the room. Cameras in the room easily capture both levels of seating, so remote attendees can clearly see everyone in the room.

Other design decisions, like enabling presentations and content to appear on screen without bumping remote attendees out of line of sight, further enhance the experience. A Microsoft Surface Hub at the back of the hybrid meeting room generates additional functionality, allowing the device to be utilized for groups of two or three people without starting a formal meeting.

Working as a team

You can’t create a hybrid space without thinking about the technology that’s going to bring in virtual attendees.

Transitioning to Microsoft Teams prior to the pandemic was a huge benefit for when it was time to go virtual. Now that same technology is central to Microsoft’s hybrid meeting room experience.

“People already associate Microsoft with software, they expect to see lot of computer screens and code,” Hempey says. “For software to shine, you need the room itself to be that end-to-end experience. Our basic fundamental premise is that every room you walk into is just a Teams room, just like the software that’s on your device.”

To further improve the attendee experience, hybrid meeting rooms do away with some of the traditional headaches of finding the right cable hookups and inviting everyone into the call. Instead, the same process for joining a call in Microsoft Teams initiates the room.

This empowers attendees to use their own devices to interact with and take advantage of the room’s features.

A new standard for work

With around 13,000 meeting rooms around the globe, Microsoft is developing a way to quickly deploy these new features to employees and guests. It’s a challenge everyone is facing as the new hybrid model of work is embraced.

“We’re developing standards for things that we would like to roll out quicker than our normal refresh cycle so that we can get a better hybrid experience in the hands of our employees, guests, and customers much faster,” Weiskopf says.

In rapidly testing and prototyping scenarios and use cases inside The Hive, Microsoft has created global AV design standards that enable hybrid meeting room experiences to exist at scale.

“We’re trying to get experiences right at Microsoft and hopefully others can benefit from that as well,” Hempey says of the new hybrid meeting rooms. “We can be very transparent about the challenges that we face. Our software is constantly evolving; our products are constantly getting better.”

As new lessons are learned, Microsoft can quickly update, incorporate, and deploy changes. This iterative process will allow employees and guests to have experiences that make the trip to a Microsoft campus worthwhile.

“It’s the combination of software, hardware, and the placement of people and cameras that enable the experience,” D’Hers says. “And that’s what creates the kind of experiences that we want, that are personal and accessible.”
